Email reporting allows you to send sales reports from your store to an email. You can choose if you wish to receive an email periodically or at the end of the day.
Things to remember
Before jumping to email reporting configuration details, please read few important notes below.
Email setup
Email reporting relies on your email preferences, so make sure you have this set before configuring and using email reports. You can read more about setting up email here.
End of day (X/Z report)
Email reporting assumes you are using End of day functionality and closing the day on a regular basis. For this reason, totals in an email will actually represent values from X or Z report, depending on report type.
On the other hand, reports are being filtered by current business day, the same way you would do in the reporting section manually.
This means that, if you do not create Z reports regularly or you have multiple Z reports during one business day, amounts presented in different reports may be different.
Configure email reporting
To access email reporting settings, open Settings screen, select Email settings and then select the Reporting tab.
Once there, you will be able to configure email reporting as follows.
General settings
Minimal configuration requires email recipients to be set. Here you can also customize subject and the message, if you wish.
- Recipients(s)
Enter an email address where reports should be sent. You can enter multiple email addresses separated by a comma. For example, if you wish to send email to two different addresses, add them separated similar to this:john@example.com,jane@example.com
- Subject
Defines email subject you see when you receive an email. Leaving this field empty will use the default subject line.
You can combine placeholders with your subject, so you can, for example, enter a date and a total sales like:My store - Sales reports for {date} - Total sales: {total}
The above subject line will result in the following:My store - Sales reports for 2/12/2022 - Total sales: $1234.56
You can use the following placeholders to adjust your subject line:
Placeholder Description {date} Business day {time} Time when reports were generated and when email was sent {total} Total sales amount, in money, e.g. $1234.56 {total_refunds} Total refunds amount, in money, e.g. $1234.56 {users} Sales broken by users, displaying each user's total sales, in money {payments} Payment types broken by payment type {sales_count} Number of sales {refunds_count} Number of refunds {report_type} If sending scheduled emails during the day, the value will be "Sales report", otherwise, if email is triggered by the end of day event, the value will be "End of day". This placeholder can be used to disambiguate between the emails being sent at the end of day or during the working ours. - Message
Represents a body of an email being sent. If empty, default message will be used.
You can enter any test there and use the above placeholders to customize it.
Default message looks similar to this:Your sales total for 2/11/2022: $27.70
Number of sales: 6
Payment types:
Cash: $20.00
Card: $7.70
Users:
John Doe: $17.70
Jane Doe: $10.00
Number of refunds: 1
Refunds total: $12.34
Reports
This sections lets you select what reports you wish to receive.
- Z report (end of day)
If selected, Z report will be sent when you close the day. You can read more about Z report and end of day here. - X report
If selected, X report will be sent on scheduled interval during the day. - Report #1
First report to send. Select "(none)" if you do not wish to receive any report. - Report #2
Second report to send. Select "(none)" if you do not wish to receive any report. - Format
Choose if you wish to receive the above reports in PDF or Excel file format, or both.
Scheduled reports
This section allows you to schedule an interval to send emails during the day.
- Send email periodically
If enabled, emails will be sent during the day in a specified interval. - Send interval
Specifies interval, in minutes, for emails to be sent during the day. Default is 60 minutes. - Business hours
Specifies in which period of the day you wish to receive emails.
Useful if you wish to receive an email even if no sales were made, and you are leaving Aronium running after hours - Send if empty
If enabled, you will receive an email even if there were no sales made from the last email sent.
Test reports
Finally, you can use "Send test email" button to test email reporting and see what the reports will look like.
